Greyfriars Edinburgh Art Fair – Terms & Conditions

1. Event Overview

The Greyfriars Edinburgh Art Fair (“the Fair”) will take place on:

Friday, 23 October 2026

  • General Admission: 16:00–21:00 (Free entry)

  • Champagne Reception: 18:00–21:00

Saturday, 24 October 2026

  • General Admission: 10:00–18:00 (Free entry)

  • Award Ceremony: 17:30

The event is organised and managed by ICM Gestora Cultural, SL (“the Organiser”).

2. Booth Options & Fees

Choose from three booth sizes:

Booth A : 4 m linear, Includes 2 LED lights

Booth B: 5 m linear, Includes 3 LED lights

Booth C: 6 m linear, Includes 4 LED lights

All booths include: Height of 2.40 m, Two 1-metre side walls and Front wall: 2 m (A), 3 m (B), 4 m (C)

Add-on Option:

  • Digital Art Fair display (up to 4 artworks) · Screen 2m x 3m

All prices are in GBP and there are no hidden costs.

Payments may be made in two instalments of 50% each.
Final payment deadline: 20 July 2025
Application deadline: 15 July 2026

All payments are non-refundable.

3. What Your Participation Includes

Physical Booth Exhibitors

  • Professionally built wooden booth (2.40 m high) with lighting

  • Entry into the Henry Raeburn Award

  • Inclusion in the printed fair catalogue

  • Opening Reception for exhibitors and guests

  • Networking opportunities throughout the event

  • Global promotional outreach

  • Complimentary invitations to the Private View

  • 0% commission on all sales made during the Fair

4. Exhibitor Responsibilities (Physical Booths)

4.1. Presence at the Event

Artists (or a representative) must be present in person for the full duration of the Fair, unless participating exclusively through the Digital Art Fair.

4.2. Display & Installation

Exhibitors are responsible for:

  • Installation and removal of their artworks

  • Ensuring the booth remains in good condition

  • Covering costs of any damage caused to walls or venue

4.3. Hanging Artworks

Users may install artworks directly onto the panels using screws, nails, or suitable adhesive fixtures. All installations must be carried out in accordance with appropriate safety practices. The company accepts no liability for damage to panels, artworks, or surrounding surfaces resulting from improper installation or the use of non-approved hardware or adhesives.

4.4. Sales Operations

All sales are handled directly between the artist and the buyer.
The Organiser does not mediate sales or take any commission.

4.5. Insurance

Exhibitors are responsible for insuring their artworks and personal items.
The Organiser is not liable for loss, theft, or damage.

5. Digital Art Fair Participation

The Digital Art Fair is designed for artists who cannot attend in person.

What the Digital Art Fair Includes:

  • Display of up to four artworks on a 2 × 3 metre screen

  • Inclusion in the Henry Raeburn Award

  • Presence in the printed catalogue

  • International promotional outreach

  • Networking opportunities

  • 0% commission on sales

Digital exhibitors must provide artwork files according to the technical specifications and deadlines provided after acceptance.

6. The Henry Raeburn Art Award

Eligibility
The award is open exclusively to artists participating in the Feryfriars Edinburgh Art Fair. Only registered and exhibiting artists are eligible for consideration.

Selection Process
A designated jury board will review all eligible participants and select three winners based on the established evaluation criteria. The jury’s decisions are final and not subject to appeal.

Award Ceremony
The official award ceremony will take place on Saturday, 24 October, at 17:30 during GEAF 2026. Winners are encouraged to attend the event in person to receive their recognition.

7. Application & Selection Process

  • All applications are reviewed by the Organiser.

  • Submission does not guarantee acceptance.

  • Selection is based on artistic quality, coherence, and suitability for the Fair.

  • Successful applicants will receive confirmation and payment instructions.

  • Booth placement is assigned by the Organiser.

8. Setup and Takedown Schedule

Exhibitors must complete installation of their booth on Friday between 09:00 and 14:00.
Takedown begins on Saturday at 18:00.
All participants are required to comply with these times, and early or late access cannot be granted.

9. Removal of Artworks After the Event

Artworks and personal property must not be left in the venue after the fair closes.
The organisers and Greyfriars Kirk accept no responsibility for any loss, damage, or theft of items left on the premises beyond the official event hours.

10. Shipping of Artworks

Shipments addressed directly to Greyfriars Kirk are not permitted.
Exhibitors should arrange delivery to their accommodation, hotel, or an alternative trusted address in Edinburgh.

11. Payments & Refunds

  • Payments must be made by the deadlines indicated.

  • Unpaid or partially paid booths may be reassigned.

  • All payments are non-refundable, including in cases of withdrawal, travel issues, or non-attendance.

  • If the Organiser cancels the Fair, participants will receive a full refund.

  • No additional compensation is provided.

  • Payment methods accepted: Bank transfer, PayPal, Credit-Debit card, ApplePay, GooglePay.

  • Payments may be made in two instalments of 50% each. All instalments must be fully settled by 15 July 2026.

  • Participation will be confirmed only once the full payment has been received.

12. Promotion & Image Use

By participating, exhibitors grant the Organiser permission to use submitted images and materials for:

  • Event promotion

  • Press and media coverage

  • Printed and digital catalogues

  • Social media and website publication

  • Marketing collaborations

This permission is non-exclusive and royalty-free.

13. Conduct & Compliance

Exhibitors commit to:

  • Respecting the historic venue and its regulations

  • Presenting only original and legally permitted works

  • Maintaining professional behaviour

  • Following instructions issued by staff or volunteers

The Organiser may remove exhibitors who do not comply, without refund.

14. Liability

The Organiser is not liable for:

  • Damage, theft, or loss of artworks

  • Transport, shipping, customs, or insurance

  • Sales disputes

  • Personal accidents or injuries, unless stemming from proven negligence

Exhibitors are encouraged to obtain their own insurance.

15. Force Majeure

The Organiser is not responsible for disruptions caused by circumstances beyond reasonable control (natural disasters, government restrictions, strikes, public health issues, etc.).

If rescheduling is required, participation fees will be transferred to the new dates.

16. Governing Law

These Terms & Conditions are governed by the laws of Spain, with operational compliance under applicable UK venue regulations.

17. Acceptance of Terms

Submitting an application to the Greyfriars Edinburgh Art Fair constitutes full acceptance of these Terms & Conditions.
